Data Privacy Policy

How Dayo Volleyball collects, uses and protects your personal information.

Last updated: 15 October 2026

Dayo Volleyball ("we", "us", "our") respects your privacy. This policy explains what personal information we collect through this website, why we collect it, and how it's used, stored and protected, in line with the New Zealand Privacy Act 2020.

1. Information We Collect

We collect personal information you give us directly, including:

  • Game registration: your name, email address, phone number, any notes you add, and a screenshot of your payment used to confirm your spot in a Game and, where needed, to handle refund requests or payment disputes.
  • Contact form: your name, email address, subject and message when you get in touch with us.
  • Sponsorship enquiries: your name, business and contact details, where you reach out about sponsoring the club.

We do not knowingly collect payment card numbers, bank logins or other sensitive financial details through this website. Payment screenshots are used to verify transfers and, where needed, resolve refund requests or payment disputes.

2. How We Use Your Information

  • To process and confirm your registration for a Game, and manage available spots.
  • To verify payment for a Game via the screenshot you upload.
  • To review refund requests and resolve payment disputes related to a Game.
  • To respond to enquiries sent through the contact form or about sponsorship.
  • To send you Game-related updates, such as confirmation, changes, or cancellations.
  • To improve this website and our events.

We do not sell or rent your personal information to third parties, and we only use it for the purposes described in this policy.

3. Photos & the Team Gallery

Photos and videos taken at Games and events may be published in our Team Gallery, on this website, and on our Instagram and Facebook pages, as described in our Terms & Conditions. If you'd like a photo of you removed, contact us using the details below and we'll action this where reasonably possible.

4. Cookies & Session Data

This website uses a session cookie to keep the website functioning correctly — for example, to remember that you've unlocked a Game with an access code, and to keep club administrators securely signed in to the admin dashboard. We do not use third-party advertising or tracking cookies.

5. Sharing Your Information

We don't share your personal information with third parties except:

  • With our website hosting and email delivery providers, solely to operate this website and send you Game-related emails.
  • Where required by law, or to protect the safety of players, organisers or the public.

6. Data Storage & Security

Your information is stored in our website's database and file storage, protected by reasonable technical and administrative safeguards. Only club organisers with admin access can view registration details and payment screenshots. No method of online storage is completely secure, but we take reasonable steps to protect your information from unauthorised access, loss or misuse.

7. Data Retention

We retain payment screenshots to verify payments and handle refund requests. We normally delete each screenshot once it is 7 days old. If payment is still awaiting verification, or a refund request or payment dispute is being handled, we may retain the screenshot until the matter is resolved, subject to any legal record-keeping requirements. Organisers can place a screenshot on hold for an active refund request or dispute.

We keep other registration and contact information for as long as reasonably needed to run our Games, respond to your enquiry, and maintain our records — after which it may be deleted or anonymised. You can ask us to delete your information sooner; see your rights below.

8. Your Rights

Under the Privacy Act 2020, you have the right to:

  • Ask what personal information we hold about you.
  • Ask us to correct any information that is inaccurate.
  • Ask us to delete your personal information, subject to any legal or record-keeping requirements.

To make a request, contact us using the details below.

9. Children's Privacy

Dayo Volleyball Games are aimed at adult and experienced players. We don't knowingly collect personal information from children without appropriate parental or guardian involvement.

10. Changes to This Policy

We may update this policy from time to time to reflect changes in how the club or website operates. The "Last updated" date above shows when this policy last changed.
